Privacy Policy
Last updated August 8, 2026. This policy explains what we collect when you use captainwoo.com, why we collect it, and the control you have over it.
Who we are
CaptainWoo is a US-based software development team operated by VRAW 9313, LLC ("CaptainWoo," "we," "us," or "our"). This policy covers captainwoo.com and the forms, newsletters, and support channels we operate on it. It does not cover client applications we build and host on our clients' behalf, which are governed by those clients' own privacy notices.
Information we collect
We keep collection deliberately narrow. Depending on how you use the site, we may collect:
- Information you give us. Name, business email, phone number, company, and the details you type into a contact, quote, or free website review request.
- Support and communication records. Messages, tickets, and notes created when you contact us or when we correspond about an active project.
- Technical and usage data. IP address, browser and device type, referring page, pages viewed, and approximate region, collected through server logs and privacy respecting analytics.
- Cookies and similar technologies. Strictly necessary cookies for site function and security, plus analytics identifiers used in aggregate.
We do not knowingly collect sensitive categories of personal information, payment card numbers, or government identifiers through this site, and we ask that you not send them through our forms.
How we use information
- Respond to your inquiry, prepare a proposal, and deliver requested reviews or audits.
- Provide, maintain, and secure the site and the services you have asked for.
- Send project updates, and marketing email only where you have opted in or have an existing business relationship. Every marketing email includes a one click unsubscribe.
- Measure site performance, diagnose errors, and improve our content and services.
- Detect and prevent fraud, abuse, and security incidents.
- Meet legal, tax, accounting, and contractual obligations.
We do not use your personal information for automated decision making that produces legal or similarly significant effects, and we do not use it to train third party AI models.
How we share information
We do not sell or rent personal information, and we do not share it for cross context behavioral advertising. We disclose information only to:
- Service providers who process data on our instructions under contract, such as hosting, email delivery, error monitoring, analytics, and ticketing providers.
- Professional advisors such as accountants and counsel, where needed.
- Authorities or other parties when required by law, valid legal process, or to protect the rights, safety, and property of CaptainWoo, our clients, or the public.
- A successor entity in connection with a merger, acquisition, financing, or sale of assets, subject to this policy.
Security
We apply the same standards to our own systems that we build for clients: encryption in transit, least privilege access, hardened infrastructure, continuous uptime and security monitoring with alerting, and change tracking through our ticketing system. No method of transmission or storage is perfectly secure, but we work to keep the exposure surface small and to respond quickly when something looks wrong.
Retention
We keep inquiry and correspondence records for as long as needed to serve you and to meet legal, tax, and contractual requirements, then delete or de-identify them. Server logs and analytics data are retained on a short rolling window. You can ask us to delete your information sooner, as described below.
Your rights and choices
Depending on where you live (including California, Colorado, Connecticut, Texas, Virginia, and other states with comprehensive privacy laws, plus the EEA and UK), you may have the right to:
- Know what personal information we hold about you and how we use it.
- Access a copy, or request it in a portable format.
- Correct inaccurate information.
- Delete information we no longer need to keep.
- Opt out of marketing email at any time.
- Be free from retaliation for exercising any of these rights.
To make a request, use our contact form or call (808) 351-5713. We will verify the request against information we already hold and respond within the time required by applicable law, generally 45 days. An authorized agent may submit a request on your behalf with written proof of authority.
Do Not Track and global privacy controls
Because we do not sell personal information or share it for targeted advertising, there is no sale or sharing to opt out of. We honor recognized browser level opt out signals for analytics where they are transmitted.
Children
The site is intended for businesses and adults. It is not directed to children under 13, and we do not knowingly collect their personal information. If you believe a child has provided information to us, contact us and we will delete it.
Third party links
Our site links to client work and third party platforms. Those sites operate under their own privacy policies, and we are not responsible for their practices.
Where data is processed
We are a 100% US-based team, and our infrastructure and service providers process data in the United States. If you contact us from outside the US, you understand your information will be processed here under this policy and appropriate safeguards.
Changes to this policy
We may update this policy as our services or the law change. The revised version is effective when posted, with a new "Last updated" date. Material changes will be highlighted on this page.
